Green Africa Youth Organization (“GAYO,” “we,” “us,” or “our”) is a youth-led climate organization operating in Ghana, Uganda, and Botswana. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit greenafricayouth.org (the “Site”), subscribe to our newsletter, contact us, apply for a role, or donate to our work.

This policy should be read together with our Cookie Policy (link cookie policy page), which explains how we use cookies and similar technologies on the Site.

1. Information We Collect
Information you give us directly
  • Contact details: name, email address, phone number, and message content when you use our contact forms or email us.
  • Newsletter subscription: your email address and country if provided.
  • Donations: name, email, contact details, and payment information processed through our payment provider. We do not store full card or mobile money details ourselves; these are handled directly by our payment processor.
  • Careers and volunteering: your CV/resume, cover letter, and any other details you submit when applying for a role or opportunity.
  • Any other information you choose to share with us, for example through surveys, event registrations, or program applications.
Information collected automatically
  • Usage data such as pages visited, time spent on the Site, referring pages, and general location (country/city level) derived from your IP address.
  • Device and browser information, including browser type, operating system, and screen resolution.
  • Cookies and similar technologies, as described in our Cookie Policy.
2. How We Use Your Information
We use personal information to:
  • Respond to inquiries and provide information you request.
  • Send our newsletter and updates about GAYO’s programs, if you have subscribed.
  • Process donations and issue acknowledgments or receipts.
  • Review job applications and volunteer or fellowship interest.
  • Operate, maintain, and improve the Site
  • Understand how visitors use the Site through aggregated analytics
  • Meet legal, accounting, and reporting obligations.
3. Legal Basis for Processing

Where applicable data protection law requires a legal basis, we rely on: your consent (for example, subscribing to our newsletter); performance of a request you make of us (for example, responding to an inquiry or processing a donation); our legitimate interests in operating and improving the Site and our programs; and compliance with legal obligations.

We aim to handle personal information consistently with applicable data protection laws in the countries where we operate, including Ghana’s Data Protection Act, 2012 (Act 843), Uganda’s Data Protection and Privacy Act, 2019, and Botswana’s Data Protection Act, 2018, and, where relevant, the EU General Data Protection Regulation for visitors from the European Economic Area.

4. How We Share Information
We do not sell personal information. We may share it with:
  •  Service providers who support our operations, such as website hosting, email and newsletter delivery, payment processing, and analytics providers, under obligations to protect your information
  • Program partners and funders, where necessary to deliver a specific initiative, and only to the extent needed
  • Authorities or advisors where required by law, or to protect GAYO’s rights, staff, or the public
  • A successor organization in the event of a merger, restructuring, or similar transition.
5. International Data Transfers

Because GAYO operates across Ghana, Uganda, and Botswana, and uses service providers that may be based elsewhere, personal information may be transferred to and processed in countries other than the one in which you are located. Where we do so, we take reasonable steps to ensure your information continues to receive an appropriate level of protection.

6. Data Retention

We keep personal information only as long as needed for the purpose it was collected, to meet legal or accounting requirements, or to resolve disputes. Newsletter subscriptions are retained until you unsubscribe; donation records are kept as required for financial reporting; job applications are retained for the duration of the recruitment process and a reasonable period afterward, unless you ask us to delete them sooner.

7. Data Security

We use reasonable technical and organizational measures to protect personal information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Children’s Privacy

The Site is not directed at children, and we do not knowingly collect personal information from children without appropriate consent. Where GAYO programs involve youth participants, we collect only the information necessary for that program and handle it with additional care.

9. Your Rights
Depending on where you are located, you may have the right to:
  • Ask us to confirm what personal information we hold about you and access a copy
  • Ask us to correct inaccurate or incomplete information
  • Ask us to delete your personal information, subject to legal or legitimate retention needs
  • Object to or restrict certain processing
  • Withdraw consent at any time, for example by unsubscribing from our newsletter
  • Lodge a complaint with your local data protection authority

To exercise any of these rights, contact us at info@greenafricayouth.org.

10. Cookies

The Site uses cookies and similar technologies to operate correctly, remember preferences, and understand how visitors use the Site. Full details, including how to manage your preferences, are set out in our Cookie Policy.

11. Third-Party Links and Social Media

The Site links to third-party platforms, including Facebook, X (formerly Twitter), Instagram, LinkedIn, YouTube, and TikTok, and may embed content from them. These platforms have their own privacy practices, which we encourage you to review. GAYO is not responsible for the privacy practices of third-party sites.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or operational reasons. We will post the updated version on this page with a revised “Last updated” date.
